Preparing for Your Mac Swap

This guide outlines how to back up your files and prepare your current device for exchange. 


Step 1: Label Your Old Mac

Write your first and last name on a painter’s tape or a Post-it note and place it on top of the Mac. This helps the Tech Team locate your machine if files are missed.


Step 2: Backup Local Files (Desktop, Documents, Downloads)

Choose a method for backing up your local files. Both are great in practice.

Option 1: Google Drive

  1. Create a "Macbook Transfer [Date]" folder on your desktop. Move the files you want to keep (from Desktop, Documents, and/or Downloads) into this folder.

  2. Log into your NAPLS Google Drive account (drive.google.com).

  3. Click + New > Folder Upload, and upload the folder.

  4. Wait for the "Upload Complete" notification.

Option 2: iCloud Desktop & Documents

  1. Go to the Apple Menu ( 🍎) > System Settings > [Your Name] > iCloud.

  2. Click Drive, then turn On Desktop & Documents Folders.

  3. Note: Files in the “Downloads” folder will not sync; move anything you want to transfer to Desktop or Documents. 

Step 3: Moving to Your New Mac

Once you receive your new Mac, follow the relevant step to access your files:

  • From Google Drive: Log into NAPLS Google Drive (drive.google.com) and download your folder back to your Desktop.

  • From iCloud: Sign into your NAPLS Apple Account during the initial setup. Then, go to System Settings > [Your Name] > iCloud > Drive and turn On Desktop & Documents Folders to automatically download files.

  • Via AirDrop (if Macs are side-by-side): Ensure you are signed into your NAPLS Apple Account on both Macs. On the old Mac, right-click your files and select Share > AirDrop, then Accept the transfer on the new Mac (files appear in Downloads).
