Why You Need a Backup

In Canva, your projects are tied to the Team (your school or district), not your personal login. If you change buildings, move to a different district, or your school account is deactivated, you will lose access to every design you’ve created under that team.

To keep your hard work, you must manually move your projects to your Personal Team or Download them to your own device. Follow these steps to ensure your resources go wherever you do.


Method 1: Move to your "Personal" Team (Stays Editable)

Every Canva account has a "Personal" workspace, even when signed into your NAPLS account. Moving designs here ensures they stay in your school account.

  • For Single Designs: In Projects, click the three dots (...) on a design → Copy to another team → Select Personal.

  • For Bulk Moving: 1. Select multiple designs using the checkboxes.
    2. Move them into a Folder.
    3. Click the three dots (...) on the folder → Copy to another team.


Method 2: Download to Your Device (Hard Copy)

Download your files to a computer, Google Drive, or flash drive to ensure you have them offline.

  1. Open your design and click Share (top right).

  2. Click Download and choose your format (examples below):

  • PDF Print: Best for worksheets.

  • MP4 Video: Best for lessons with audio.

  • PowerPoint: (Found under Share > More) Best for offline presenting.
